How to Request an Accurate Custom Umbrella Quote
Learn what to include in a custom umbrella RFQ to get accurate pricing for size, materials, printing, packaging, MOQ, lead time, and shipping.

How to Request an Accurate Custom Umbrella Quote
Requesting a custom umbrella quote may seem simple, but the quality of the quotation depends heavily on the information provided to the supplier.
A request such as “Please quote 500 custom umbrellas with our logo” is usually not enough. Umbrella type, size, frame construction, canopy fabric, printing method, packaging, and delivery terms can all change the final price.
For B2B buyers, promotional distributors, and private-label brands, a clear RFQ helps reduce repeated emails, speeds up supplier evaluation, and makes quotations easier to compare.
Here is the information that should be included when requesting pricing for a custom umbrella project.
1. Specify the Umbrella Type
Start by identifying the general umbrella style you need.
The three most common categories for branded projects are:
- Golf umbrellas
- Folding umbrellas
- Straight or stick umbrellas
If you do not know the exact model, explain the intended application instead.
For example, a supplier can make a more useful recommendation if you say:
- Premium umbrella for executive gifts
- Large branded umbrella for a golf tournament
- Compact umbrella for employee gift packs
- Straight umbrella for a luxury retail programme
This gives the supplier a better starting point than simply requesting “an umbrella with logo.”
2. Provide the Required Size
Umbrella size affects material usage, product weight, packaging and freight cost.
For golf umbrellas, buyers may consider sizes such as 27", 30" or 32". Folding umbrellas are commonly available in sizes such as 21" or 23", while straight umbrellas may use other standard dimensions.
If you are unsure about size, tell the supplier how the product will be used.
For example, a large golf umbrella may provide stronger visual impact and greater coverage, while a compact folding umbrella may be more practical for travel or individual gift distribution.
A quotation should always make the quoted size clear so that you are comparing equivalent products.
3. Include the Approximate Quantity
Quantity is one of the biggest factors affecting custom umbrella pricing.
Always provide the expected order volume when possible.
For example:
Quantity: 500 pcs
If you are comparing options, you can request two or three quantity levels:
500 / 1,000 / 2,000 pcs
This allows you to understand how pricing changes with production volume.
Avoid asking only for the supplier's MOQ unless your project quantity is genuinely unknown. Your actual expected quantity gives the supplier much more useful information for costing.
4. Send Your Logo or Artwork
Artwork directly affects the printing method and price.
Whenever possible, send the logo together with your quotation request.
Vector files such as AI, EPS, or editable PDF are particularly useful because they allow the supplier to check the design clearly.
You should also specify:
- Number of logo colours
- Preferred logo size
- Number of printed panels
- Printing position
- Pantone references if required
For example, printing one white logo on one panel is very different from printing artwork on all eight panels.
Complex artwork, gradients, or photographic designs may require digital printing rather than standard screen printing.
Without seeing the artwork, a supplier may only be able to provide an estimated price.
5. Define Canopy Colour and Printing Requirements
Canopy colour can affect both production method and MOQ.
If you need a standard black, navy, or another readily available colour, mention it in the RFQ.
If the canopy must match a specific corporate colour, provide a Pantone reference.
It is also important to distinguish between:
Canopy colour — the base colour of the umbrella fabric.
Logo colour — the colour printed onto the canopy.
For fully customised projects, colour matching may require additional sampling or minimum quantities, so this information should be discussed before the quotation is finalised.
6. Describe Any Packaging Requirements
Packaging can make a significant difference to the total project cost.
A standard B2B order may only require an umbrella sleeve and export carton.
A corporate gift or retail project may need:
- Printed umbrella sleeve
- Gift box
- Hangtag
- Barcode
- Branded label
- Individual retail packaging
If packaging has not yet been decided, ask the supplier to quote the standard packaging separately and provide optional upgrades.
This makes the quotation easier to understand and prevents packaging costs from appearing unexpectedly later.
7. Tell the Supplier Your Delivery Destination
A product quotation and a delivered quotation are not the same thing.
If you need freight included, provide at least:
- Destination country
- City
- Postcode
- Delivery term if known
Depending on the project, suppliers may quote EXW, FOB, DAP, or DDP.
For international shipments, postcode information is particularly important when requesting door-to-door freight because delivery costs can vary by location.
If you only need a product price initially, state that clearly as well.
8. Include Your Required Delivery Date
Do not wait until after placing the order to mention that the umbrellas are needed for a specific event.
If the project has a deadline, include it in the original RFQ.
For example:
Required delivery date: before 15 September
The supplier can then work backwards through artwork approval, sampling, production, inspection and shipping to determine whether the schedule is realistic.
Custom projects with special fabric colours, complex printing or custom packaging may require more production time than standard logo printing.
9. Ask for a Clear Quotation Breakdown
A useful quotation should clearly identify what is included.
Check whether the quotation states:
- Umbrella model
- Product size
- Frame construction
- Canopy material
- Printing method
- Number of printed panels
- Unit price
- MOQ
- Packaging
- Sample cost
- Production lead time
- Shipping term
- Quotation validity
This makes it much easier to compare different suppliers.
A lower unit price may not actually represent a lower total cost if printing charges, packaging, tooling or freight are excluded.
A Simple Custom Umbrella RFQ Example
A buyer could send the following information:
Product: 30" golf umbrella
Quantity: 500 pcs
Canopy: Black pongee
Logo: White logo, printed on 2 panels
Opening: Automatic
Frame: Prefer fiberglass
Packaging: Individual sleeve
Destination: London, UK
Required delivery: Before 30 November
Artwork: AI file attached
With this level of detail, the supplier can usually provide a much more accurate quotation from the beginning.
Final Thoughts
An accurate custom umbrella quote starts with an accurate RFQ.
The more clearly you define the umbrella type, size, quantity, artwork, colours, printing, packaging and delivery requirements, the easier it becomes to compare suppliers and avoid changes later.
Not every specification needs to be decided before contacting a supplier. If you are unsure about the best umbrella size, frame construction or printing method, explain the application and target quality level instead.
A capable supplier should be able to recommend suitable options and explain how different specifications affect price, MOQ and lead time.
For your next custom umbrella project, prepare your approximate quantity, artwork, preferred umbrella type, destination and required delivery date before requesting pricing. This will help you receive a quotation that is both faster and more useful for purchasing decisions.
